Privacy Policy

Hackathon Radar ("HR", "we", "us") is operated by Keanu, a sole trader based in the United Kingdom. This policy explains what data we collect, why we collect it, and what rights you have over it. We've kept it short and in plain English on purpose.
What we collect
Depending on how you use Hackathon Radar, we may collect some or all of the following:
- Discord account info — username, avatar, and server roles (via Discord OAuth2 when you link your account)
- GitHub account — username and public profile (optional, via GitHub OAuth2)
- LinkedIn account — profile URL (optional, via LinkedIn OAuth2)
- Devpost username — optional, entered manually
- Email address — provided when you sign up for the newsletter or create an account
- Phone number — optional, if you opt in to SMS hackathon reminders
How we store your data
Different pieces of your data live in different places:
- Profile data (username, linked accounts, preferences) — stored in our PostgreSQL database
- Phone numbers — stored and processed by Twilio for SMS reminders. We do not keep phone numbers in our own database.
- Email addresses — stored by Beehiiv (newsletter) and processed by AWS SES (transactional emails). We store a hashed reference in our database, but delivery is handled by these providers.
- Payment details — handled entirely by Stripe. We never see or store your card number.
Third-party services
We use the following services, each with their own privacy policies:
- Discord OAuth2 — account linking and community features
- GitHub OAuth2 — optional profile enrichment
- LinkedIn OAuth2 — optional profile enrichment
- Stripe — subscription billing and payment processing
- Beehiiv — newsletter delivery
- PostHog — privacy-friendly product analytics (see "Cookies" below)
- Twilio — SMS reminders
- AWS SES — transactional email delivery
Cookies
We use two types of cookies:
- Essential cookies — session cookies that keep you logged in. These are strictly necessary and don't require consent.
- Analytics cookies — PostHog sets these to help us understand how people use the site (which pages are popular, where people drop off). These are only set after you give consent via the cookie banner. If you decline, no analytics cookies are placed and no tracking occurs.
PostHog respects "Do Not Track" browser settings. You can opt out at any time by clearing your cookies or withdrawing consent through the cookie banner.
How we use your data
In short: to run Hackathon Radar and make it useful to you. Specifically:
- To display your public Passport profile (if you choose to create one)
- To send you hackathon reminders via email or SMS (only if you opted in)
- To deliver the newsletter you signed up for
- To process subscription payments
- To improve the platform based on aggregated, anonymised usage patterns
We will never sell your data. We will never send you marketing emails you didn't ask for.
Data retention
- Your profile data is kept for as long as your account is active.
- If you delete your account, we will remove all your data within 72 hours.
- Newsletter subscribers can unsubscribe at any time; Beehiiv handles removal from their mailing list.
- Payment records may be retained by Stripe as required by financial regulations.
Your rights
Under the UK GDPR and the Data Protection Act 2018, you have the right to:
- Access — request a copy of all data we hold about you
- Rectification — correct any inaccurate data
- Erasure — delete all your data ("right to be forgotten", GDPR Article 17). You can do this directly from your Passport settings, or by emailing us.
- Portability — receive your data in a machine-readable format
- Object — opt out of analytics or marketing at any time
To exercise any of these rights, email keanu@hackradar.tech. We'll respond within 30 days.
Age requirement
You must be at least 18 years old to publish a public Passport profile. Younger users can browse events and join the community but cannot create a public profile.
Changes to this policy
If we make meaningful changes, we'll update the "last updated" date at the top and post a notice in our Discord server. For significant changes, we'll email affected users.
